How stadiums, arenas, and sports venues collect photos for event-staff accreditation, concession credentials, and season contractor badges

Rows of empty blue stadium seats curve through a dark lower bowl. A pale decorative panel runs along the front of the upper deck, and a small section of red floor with a metal rail is visible at the lower right.
The bowl is empty between events. Event-staff accreditation, the concession credential, and the season contractor badge are separate files. The venue is not an IDPhoto.ai customer. Photo: Alen Joe Chacko / Pexels.

A stadium, an arena, or another sports and event venue can put a photograph a gate can match on event-staff accreditation, on a concession credential, and on a season contractor badge, when it keeps those three files apart. Name the file before anyone uploads, use the camera that file allows, and store an end date on every pass the building prints. In the United States, Form I-9 stays an examination of documents the employee chooses. A league season pass, an SIA licence, and a visa or passport photograph stay on the path that issues them.

Direct hires follow the HR badge guide. Agency event staff follow the staffing guide. Contract security follows the security guide. A conversion or build crew follows the construction guide. A press credential a league or a show issues stays on that issuer's file; the conference guide covers a show badge when the building hosts one. A visa or passport follows the immigration guide. Starting from $0.20 per photo.

What does one shared photograph cost a stadium or arena?

The cost shows up at a staff gate an hour before doors. A concession worker is turned away because the inbox selfie is dark, and a stand opens late. A season badge still opens a tunnel after the contract has ended. One crop for tonight's accreditation, the season badge, and a league pass puts three end dates on one file.

The U.S. Bureau of Labor Statistics counted 596.2 thousand seasonally adjusted employees in performing arts, spectator sports, and related industries (NAICS 711) in September 2026, a preliminary figure. The subsector is wider than stadiums and arenas: it also includes performing-arts companies, agents, and independent performers. The same page lists 2025 employment of 32,640 ushers, lobby attendants, and ticket takers there. A concession company on a food-service payroll is outside both figures and still needs a credential from you.

The Form I-9 instructions put Section 2 within three business days of the first day, or on day one when the job is shorter. On an E-Verify case, compare the photo E-Verify displays with the document presented. Concession workers and agency staff complete the form with their own employer.

Which rule decides this photograph?

No single national portrait size covers a venue credential. The photograph matches a face to a record. It does not grant a zone, replace a background check, or exempt anyone from screening.

CISA's Public Venue Credentialing Guide (July 2026) says its procedures are options, not a regulation. Mark the time the credential is valid, put a photo on it so a gate can match the face, and make the colour differ from the previous event or season. Number each credential, keep a record, do not post the image, and deactivate a lost one. Holders are still screened. A year-round credential may be invalid on event day. A part-time credential may end with the contract, the work order, or the season and still not be valid during the event. Event staff may expire that day or last the whole event. At close-out, collect temporary credentials, cross-check what was not returned, and deactivate the rest.

A league may issue photo season passes to media, league staff, and a traveling party. The venue should still issue its own day or event pass, and it does not crop its file onto a pass it does not issue. The name on a government photo ID matches the credential when someone collects it in person. CISA's May 2012 sports-venue guide, still published and also guidance only, puts the office on the perimeter. Neither guide sets a crop. Measure the window you print.

In the United Kingdom, Supplementary Guidance 03 says a pass should show, as far as possible, a photograph, the name, a unique reference, the role, the areas, and the event date. Check applications before the event. A same-day check is the exception. Hand the pass back at the end, except a pass that already applies on non-event days. A tabard is not the only accreditation. An SIA licence is a separate photocard. In-house staff at a certified sports ground in England or Wales do not need one; the SGSA exemption page says they are trained and vetted instead, while agency stewards who search or physically intervene need a door supervisor licence. The venue credential does not replace it.

How do venues collect these photos today?

A building that has not split the files still runs on a shared inbox and a printer at the staff gate. A concession company emails selfies on the day of load-in. A season contractor who finished in April can still open a door in October. A rejected capture, with no retake camera, becomes a line before doors.

What does a split workflow look like?

Name the file before the first link goes out. Every file stores an end date.

Four-step diagram: name the file as event-staff accreditation, a concession credential, or a season contractor badge; use a link or the credentialing office; retake before the gate opens; store an end date. The footer says a clean check is not permission to enter.
Each file names its own camera and its own end date.

1. Write down who holds the camera. Collect the event-staff photo before load-in, the concession photo before the dock time, and the season contractor photo before the first event that person works. Keep a retake camera at the credentialing office. An AI headshot stays on a public page, not on the credential.

2. Sort people by the record that already owns them. A direct employee gets the employee badge, plus event accreditation when that badge is not valid on event day. A concession worker gets your credential through the assignment end date; that employer keeps Form I-9. A season badge ends with the season or the work order and is not tonight's all-access. A league pass, an SIA licence, and a visa stay off these files. Finish any background check before you issue the credential.

3. Collect the file on one link, or at the credentialing office. The badge photo service can email one link per person, with no extra account, expired after use, available per request from support@idphoto.ai. Direct hires use the employee badge page. The link does not replace a background check, Form I-9, or a league agreement. Keep that office on the perimeter.

4. Reject a bad capture in the same visit. One person, in colour, in focus, eyes visible. Hats and sunglasses come off for the capture. Background removal and photo enhancement apply only when the template allows them. A visa or UK passport photograph stays unedited. See when a corrected portrait fits. A face-mask check is available per request.

5. Write the file back with its date. The venue still decides who may enter, and a credential does not skip screening. On a replacement, face comparison checks the new capture against the stored file. Liveness detection is available per request. Take the copy back, or use a temporary link of 2 hours to 14 days. Deactivate the credential at close-out.

6. Batch one class on one template. Batch preparation returns a retake list before the print deadline. Keep one event roster, one concession company, and one season-contractor list in separate batches. Change the colour or the layout from the previous event or season, so last month's pass is obvious at the gate.

Three cards: event-staff accreditation ending with the event, a concession credential ending with the assignment, and a season contractor badge ending with the season. A licence, a passport, and Form I-9 stay off these files.
Event-staff accreditation, the concession credential, and the season contractor badge are three files.

Many printers take ID-1 stock, nominally 85.60 mm by 53.98 mm under ISO/IEC 7810. A lanyard card may be a different size. Measure each window before the first link.

What should a venue require from a vendor?

What you needWhat good looks like
A specification per pictureSize, crop, and background for each window. See the published specifications. A licence and a visa sit outside this list.
A block on forbidden editsA visa photograph, and a U.S. or UK passport photograph, stay unedited.
Rejection in the same visitFace, light, blur, and framing while the person is still there.
A path before load-inOne link per person, no extra account, expired after use. Keep a camera at the perimeter office for a retake.
The record that owns the personThe file returns with its end date. Workday or SAP SuccessFactors sync is available per request for direct employees.
A check a gate can explainFace comparison and liveness detection are available per request. The person at the gate still matches the face. A clean check is not an entry decision.

How do you roll this out at one building?

Write the file rule before the first link. Name the templates, the windows, the end dates, and which passes are valid on event day. A year-round badge and a one-night accreditation can share a person and still not share a file.

Run one event on those templates only. The first week is two event-staff accreditations that end that night, one concession credential that ends with that vendor's assignment, and one season contractor badge that already has a season end date. One owner decides the same day who stays on the new path. Print one credential on that printer, or confirm print and mailing before you promise a card in the post. Print and mailing is available per request. Do not start on a playoff night or a festival load-in.

Add the next building after a write has held. Prove a clean upload, a retake, a walk-up, and one failed write that is retried. Open Workday or SAP SuccessFactors only for direct employees, after support confirms the connection. Rehearse a second event only after close-out has held, including the count of passes not returned.

Where do these photos usually fail?

What failsWhat to change
One selfie is used for tonight, the season, and a league passSplit the files. A public page needs its own permission.
A concession credential has no end date, or a walk-up is in the season batchUse the assignment template, or an event file that ends that night.
A pass still opens a door after the eventDeactivate it at close-out and cross-check what was not returned.
A lost badge is reprinted from a new phone selfieReprint from the stored file. Retake only when face comparison fails.
A vendor roster has no usable photoSend the link before load-in. The vendor's badge is not your credential.
Last season's colour is printed again, or the photo is posted onlineChange the design from the previous event or season. Keep the credential image off social media.

Who may see a photograph?

The person, the credentialing office, a supervisor, and the gate may see the file they need. A spectator sees the pass, not the personnel file. Do not post the credential photograph. GDPR Article 5(1)(e) and the CCPA apply where those laws apply. The data privacy policy covers encrypted transmission, a temporary link of 2 hours to 14 days, or taking the image back. US and EU processing are available. Other regions are available per request.

What do operations leads ask?

Does every person working an event need a photo on the credential?

The rule you operate under decides. The July 2026 guide uses a photo to tie a credential to one person. Supplementary Guidance 03 says a pass should show a photograph, as far as possible. Neither sets a crop size.

Can the season contractor badge also be tonight's event accreditation?

Keep them separate. A season badge ends with the season or the work order. Event accreditation ends with the event.

Can a concession company send one set of photos for every stand?

Each person needs their own file. The vendor keeps Form I-9. You print the credential you issue, with that assignment's end date.

Can event staff send a photo before load-in?

Yes. One link, no extra account, expired after use, available per request from support@idphoto.ai. Keep a retake camera at the office. Form I-9 keeps its own clock.

What if the person works for a vendor, a staffing agency, or a security company?

Print your credential with the end date. The other employer keeps Form I-9. Agency stewards who search or physically intervene at a certified sports ground in England or Wales need an SIA door supervisor licence. In-house stewards there are trained and vetted instead. See the security guide.

When should the photograph be deleted?

Delete the file on the date stored with it, and deactivate the credential then. Where Supplementary Guidance 03 applies, hand the pass back at the end, except a pass that already applies on non-event days. GDPR Article 5(1)(e) keeps personal data in the UK and the EU no longer than necessary.

What does preparing the photograph cost?

It starts at $0.20 per photo. That is separate from a printer lease, a background check, and a government fee. The catalog covers 300+ specifications across 200+ countries.

How does idphoto.ai fit this workflow?

The idphoto.ai API is the photo step. It prepares a portrait to the template you name, checks the capture, and returns a file for the event record, the vendor record, the season-contractor record, or the printer. The venue decides who receives a credential and which zone it opens. Form I-9, an SIA licence, a league pass, and a visa stay on their own path. A UK passport photograph must meet GOV.UK photo rules. A UK passport photo code retrieves a photograph that meets those rules, and HM Passport Office still decides. Preparing a photo starts at $0.20, from a catalog of 300+ specifications across 200+ countries.

Templates, the self-service link, Workday or SAP SuccessFactors sync, print and mailing, liveness detection, a face-mask check, another processing region, and the Shopify store template with one-click setup are each available per request. The store stays off the access record. Email support@idphoto.ai with the card designs, which passes are valid on event day, the end dates, and how the file returns.
