A hotel chain can put a photograph a guest can match on the name badge, and a photograph a supervisor can match on the staff access card, when it keeps three files apart: the name badge, the staff access card, and a contractor pass that ends when the job ends. Name the file before anyone uploads, use the camera that file allows, and store an end date on every card the property prints. In the United States, Form I-9 stays an examination of documents the employee chooses. A visa or passport photograph, when someone transfers to another country, is its own file.
Headquarters staff follow the HR badge guide. Agency hires follow the staffing guide. Guarding follows the security guide. A renovation crew follows the contractor guide. Airside identification media follow the airport guide. A visa or passport file follows the immigration guide. Starting from $0.20 per photo.
What does one photograph for every card cost a hotel chain?
The cost shows up as a new hire on the floor with a handwritten tag, a contractor whose pass still opens a door after the job, or a visa file that used the uniform crop. It also shows up when Form I-9 is still open because the desk was waiting on a badge printer. The U.S. Bureau of Labor Statistics counted 1,916.5 thousand seasonally adjusted employees in accommodation (NAICS 721) in September 2026, a preliminary figure. That subsector includes traveler accommodation and also RV parks and rooming houses, so it is wider than hotel chains. The same page lists 78,789 private accommodation establishments in the first quarter of 2026, also preliminary, and 2025 employment of 247,700 hotel, motel, and resort desk clerks. The table uses those published U.S. identity-document rules, plus the brand template for every card the property prints.
| File | Who holds the camera | What goes wrong if you substitute |
|---|---|---|
| Guest-facing name badge | The brand template: a link before the first shift, or the property camera. | A selfie a guest cannot match, or a card with no end date. |
| Staff access card | The property template. Share the name-badge crop only when the photo windows match. | A card that still opens a door after the assignment ends. |
| Contractor or vendor pass | A pass template that looks different from the staff card. | Staff stock, or a pass with no end date. |
| Form I-9, for work in the United States | The employee chooses the documents. A hotel badge is not on the Lists of Acceptable Documents. | Filing the badge as a List A or List B document, or specifying which document to bring. |
| E-Verify photo match, when a case is created | Compare the photo E-Verify displays with the photo on the document. | Matching it to the person or the badge, or requiring a passport so photo matching runs. |
| Passport or visa for a transfer abroad | That document's own capture. A U.S. visa follows the Department of State and stays unaltered. A UK passport photograph meets GOV.UK photo rules. | Sending the uniform crop as the visa photograph. The embassy decides. HM Passport Office decides a UK passport photograph. |
The Form I-9 instructions put Section 2 within three business days after the first day of employment, or on the first day when the job is shorter. A Monday start is due on or before Thursday. The badge printer does not move that clock. Keep the form for one year after employment ends or three years after the first day, whichever is later. Where the employer uses E-Verify, create the case no later than the third business day after work for pay begins. This page does not decide enrollment. Outside the United States, follow that country's identity-document rules.
How do hotels collect badge photos today?
A property that has not split the files still runs on a webcam at the desk, a shared inbox, and one coordinator. A new hire texts a selfie from the employee entrance. Someone crops it once for the name badge, the access card, and, when a transfer is pending, the immigration file. End dates sit in a spreadsheet, so a reprint uses whichever file is newest. A banquet hire and a year-round engineer wait in the same queue.
What does a split workflow look like?
Name the file before the first link goes out. Each file has its own end date. The name badge and the access card share a crop only when both photo windows accept it.
1. Write down who holds the camera. Collect the hotel photograph before the first shift. Form I-9 stays the employee's choice of documents. A visa capture, and any airside identification medium, stay on their own path. See the airport guide.
2. Sort people by the record that already owns them. Build the checklist on the property record. Leave payroll and Form I-9 where they already live.
| Who | Where the record lives | What to do with the photo |
|---|---|---|
| Guest-facing employee | The property record, and HR when Workday or SAP SuccessFactors already lists them | Name badge, and an access card if the role needs the door. End date is the earlier of employment end or the assignment end. |
| Back-of-house employee | The property record | Access card. Add a name badge only when that role is on the brand template. |
| Relief manager, seasonal hire, or banquet shift | The assignment | One card set per property, with that assignment's end date. A hire under three business days still completes Form I-9 no later than the first day. |
| Staffing-agency hire, short-job vendor, renovation crew, or contract security | The card you issue, plus their employer's own file | Your card carries the assignment end date. The firm follows the staffing guide, the crew follows the contractor guide, and guarding follows the security guide. |
| Person who needs airside identification media | The airport security program | The airport guide for that medium. Hotel cards stay on the hotel templates. |
| Person transferring to another country | That document's own file | The immigration guide. A UK passport photograph meets GOV.UK photo rules and stays unedited. |
At a property opening its pool for the season, the desk needs a name badge and an access card before the first shift. Housekeeping needs an access card, plus a name badge only if that role is on the brand template. A one-week AV vendor needs a pass that ends with the job. A transfer to the United Kingdom needs a UK passport photograph on its own file.
3. Collect the file on one link, or on a camera at the property. The badge photo service can email a unique link with no extra account, and the link expires after use. It is available per request. Contact support@idphoto.ai. Keep the property camera for a rejected capture. Headquarters-only badges use the employee badge page. The link does not replace Form I-9.
4. Match the face, and reject a bad capture in the same visit. One person, in colour, in focus, eyes visible. The template decides uniform, glasses, and background. Background removal and photo enhancement apply only when the template allows them. A visa or passport photograph stays unedited. A face-mask check is available per request. An AI headshot is a different file.
5. Write each file to the record with the date it should stop. The property still decides who receives a card. On a replacement, face comparison returns a match decision and a similarity score. Liveness detection is available per request. See biometric verification. Take the copy back, or use a temporary link of 2 hours to 14 days. Keep any copy that E-Verify requires with Form I-9.
6. Run a batch only inside one specification. Batch preparation fits a week of new hires on one template and returns a retake list. A shared crop is still two records when the end dates differ.
Many printers take ID-1 stock, nominally 85.60 mm by 53.98 mm under ISO/IEC 7810. Measure both photo windows before the first link, and keep a passport number off the face of every hotel card.
Where do hotel badge photos usually fail?
| What fails | What to change |
|---|---|
| One selfie is cropped for the name badge, the access card, and the visa | Split the visa off. Share a hotel crop only when both windows accept it. |
| The uniform stays on a U.S. visa photograph | Retake that file without the uniform, except religious clothing worn daily. |
| The name badge is filed as the Form I-9 document | The employee chooses the documents. Store hotel cards on the property record. |
| E-Verify photo matching uses the person, or the badge | Compare the E-Verify photo with the photo on the document. |
| A contractor pass uses staff stock and has no end date | Use a distinct pass, store the job end date, and collect it that day. |
| A card still opens a door after the assignment, including at a second property | Deactivate that card the same day. One card set per property. Form I-9 retention follows its own clock. |
What should a hotel chain require from a vendor?
Share one shortlist. The property still decides who receives a card.
| What you need | What good looks like |
|---|---|
| A specification per card you print | Size, crop, background, uniform, and glasses, including a second window when the cards differ. See the published specifications. The visa sits outside this list. |
| A block on forbidden edits | A U.S. visa photograph, and a U.S. or UK passport photograph, stay unedited. See when a corrected portrait fits. |
| Rejection before a manual crop | Face, light, blur, framing, and glasses, while the person is still there. A face-mask check when you ask for it. |
| A path for people not yet at the property | One link per person, no extra account, expired after use. The property camera stays for a rejected capture. |
| The property record | The file returns with the date that card should stop. Workday or SAP SuccessFactors sync is available per request. |
| A check a supervisor can explain, including the contractor pass | Face comparison and liveness detection are available per request. The supervisor still matches the person. The contractor template looks different from the staff card and is collected when the job ends. |
Who may see a worker's photograph?
The worker, the property people office, and a supervisor who matches the card may see the hotel file. A careers-page photograph uses a separate consent. A document copy that E-Verify requires stays with Form I-9. In the UK and the EU the portrait is personal data under the GDPR. In California it is personal information under the CCPA. The data privacy policy covers encrypted transmission and temporary storage from 2 hours to 14 days. US and EU processing are available. Other regions are available per request.
How do you roll this out at one property?
Write the file rule before the first link. For one property, name the three templates, the date that stops each file, and both photo windows. List which roles receive a name badge. Keep the Form I-9 clock beside the print step so the printer cannot hold it up.
Run one week of new hires on those templates only. Name one owner who can decide, the same day, whether a person stays on the new path. A rejected capture uses the property camera before the person leaves. Include one vendor pass that week. Print one card on that printer, or confirm print and mailing with support before you promise a photograph in the post. Print and mailing is available per request.
Add a second property after a write has held. Prove a clean upload, a retake, and a write that fails once and is retried. Open Workday or SAP SuccessFactors only after support has confirmed that connection. A relief manager at both properties is the second test: two card sets, two end dates. The Shopify store template, with one-click setup, is available per request for a guest counter that sells passport photos. It follows the Shopify guide and the retail counter page, and it stays off the badging record.
What do hotel people leads ask?
Can a hotel name badge complete Form I-9?
No. The employee chooses from the Lists of Acceptable Documents, and a hotel badge is not on them. Section 2 is due within three business days, or on the first day when the job is shorter.
Does E-Verify photo matching use the name-badge photograph?
No. Compare the photo E-Verify displays with the photo on a Permanent Resident Card, Employment Authorization Document, U.S. passport, or passport card. Do not require one of those documents so photo matching will run.
Can one portrait go on the name badge, the access card, and a visa?
Share a crop across the hotel cards only when both windows accept it. A visa stays unedited under Department of State photo rules. A UK passport photograph must meet GOV.UK photo rules.
Can a new hire send a name-badge photo before arriving at the property?
Yes. One link, no extra account, expired after use, available per request from support@idphoto.ai. Keep a property camera for a retake. Form I-9 keeps its own clock.
What if the person comes from a staffing agency, or the hotel sits at an airport?
Print your card with the assignment end date. Staffing, guarding, renovation, and airside media each stay on their own file. The name badge stays on the hotel template.
Can the same portrait go on a UK passport?
No. Use a separate file that meets GOV.UK photo rules, stays unedited, and can be retrieved with a UK passport photo code. HM Passport Office still decides.
What does preparing the hotel photograph cost?
It starts at $0.20 per photo. That is not a government fee. The catalog covers 300+ specifications across 200+ countries.
How does idphoto.ai fit this workflow?
idphoto.ai is the photo step for the cards the property prints. The API prepares a portrait to the template you name, checks the capture, and returns a file for the property record or the printer. The property decides who receives a card. Form I-9 and E-Verify stay on their own path. The catalog covers 300+ specifications across 200+ countries. Starting from $0.20 per photo. A UK passport photograph must meet GOV.UK photo rules. A visa photograph the applicant supplies stays unedited.
Templates, the self-service link, Workday or SAP SuccessFactors sync, print and mailing, liveness detection, a face-mask check, another processing region, and the Shopify store template with one-click setup are each available per request. Email support@idphoto.ai with the card designs, which roles receive a name badge, and how the file returns.
