An airline, a ground handler, or another airport tenant can bring a new hire to the door with a usable company photograph when it keeps three files apart: the identification medium the security program issues, the company ID the employer prints, and a temporary pass for a short job. Name the file before anyone uploads, use the camera that file allows, and store an end date with the copy the company keeps. The airport still issues identification media. TSA still approves the security program. The person at the door still decides who enters a secured area or a SIDA.
This guide is for the station badging lead, HR, and the person who prints the company card. People who never need airside access follow the HR badge guide. Agency hires follow the staffing guide. A contract guarding company follows the security guide. A visa or passport file follows the immigration guide. Starting from $0.20 per photo.
What does one photograph for every card cost an airline?
The cost is a person turned away at the door, a fingerprint appointment that cannot start, or a company card that still looks current after the assignment has ended. One JPEG cannot serve the identification medium, the company ID, and a passport. The table uses the published US rules, plus your template for every card you print.
| File | Who holds the camera | What goes wrong if you substitute |
|---|---|---|
| Identification media for a secured area or a SIDA | The issuer named in the airport security program. 49 CFR 1542.211 requires a full-face image, full name, employer, identification number, access scope, and an expiration date. Media from anyone else need an amendment under paragraph (c). | A company crop printed as that medium, or a second medium when the person does not work for two companies. |
| Aircraft-operator media an airport accepts, or media for an exclusive area | The aircraft operator, under 49 CFR 1544.231: the same face, name, employer, number, access, and expiration date. Only one medium at a time. | Treating the break-room badge as this medium. An exclusive area is a portion the aircraft operator has assumed. |
| Temporary identification media | The airport system under 49 CFR 1542.211(b), or an aircraft-operator system that meets those standards when approved under 49 CFR 1544.231(b). | A day pass that looks like the standing medium, or a card with no end date. Temporary media are distinct, dated, limited, and retrieved. |
| Company ID for ramp, cabin, catering, fuel, or cleaning staff | Your template: a phone link before the start date, or the camera at the station office. | A selfie a supervisor cannot match, or an end date that lives only in the roster. |
| Passport or visa, when the person positions to another country | That document's own capture. A US visa follows the Department of State photo rules and stays unaltered. A UK passport photograph meets GOV.UK photo rules. | Sending the company uniform crop as the visa photograph. The embassy decides. HM Passport Office decides a UK passport photograph. |
A SIDA is the portion of an airport the security program names for these measures, including the secured area. 49 CFR 1542.209 requires a fingerprint-based criminal history records check before unescorted access, with the exceptions in that section. Two identity documents come first. At least one is from a government authority, and at least one includes a photo. Fingerprints are taken under direct observation. An aircraft operator follows 49 CFR 1544.229. The company photograph stays on the company record. In a secured area or a SIDA the medium is worn above the waist on the outer garment, or the person stays under escort. The system is audited at least once a year, and expired media are retrieved.
How do airlines collect badge photos today?
Most station offices still run on a webcam, a shared inbox, and one coordinator. A new hire texts a selfie from the parking lot. Someone crops it once for the company ID, the temporary pass, and an email to the badging office. End dates sit in the roster and a spreadsheet, so a reprint uses whichever file is newest, and the person waits.
What does a split workflow look like?
Name the file before the first link goes out. One person can hold more than one file. Each file has its own camera and its own end date.
1. Write down who is allowed to hold the camera. Use the row above. Collect the company photograph before the start date. The issuer named in the security program keeps the camera for identification media. A passport or visa capture stays on that document.
2. Sort people by the record that already owns them. Build the checklist on the station record. Leave payroll and the government account where they already live.
| Who | Where the record lives | What to do with the photo |
|---|---|---|
| Direct employee who needs unescorted access | The company record, and HR when Workday or SAP SuccessFactors already lists them | Company template and the earlier of the employment end date or the station end date. Identification media stay with the issuer. |
| Ground handler, caterer, fueler, or cabin cleaner | The assignment at this airport | The card you issue, with the assignment end date. |
| New hire from a staffing firm | The assignment | The card you issue, with the assignment end date. The firm keeps its own file. |
| Visitor, vendor, or a one-shift contractor | The visitor log | Escort under 49 CFR 1542.211(e), or temporary media that are distinct and expire. |
| Person who also needs a visa or a passport | That document's own file | The immigration guide. A UK passport photograph meets GOV.UK photo rules and stays unedited. |
3. Collect the company file on one link, or on a camera at the station office. The badge photo service can email a unique link with no extra account, and the link expires after use. That portal is available per request. Contact support@idphoto.ai. Keep the station camera for a rejected capture. Identification media keep their own camera. People who never go airside use the employee badge page.
4. Match the face, and reject a bad capture in the same visit. One person, in colour, in focus, eyes visible. The company template decides uniform, glasses, and background. A US visa photograph leaves the uniform off, except religious clothing worn daily, and stays unedited. Background removal and photo enhancement apply only when the template allows them. A UK passport photograph must meet GOV.UK photo rules and stay unedited. HM Passport Office still decides. A face-mask check is available per request. An AI headshot is a different file.
5. Write each file to the record with the date it should stop. The airport, TSA, and the person at the door still decide. On a replacement, face comparison returns a match decision and a similarity score. Liveness detection is available per request. See biometric verification. Take the copy back, or use a temporary link of 2 hours to 14 days. A criminal-history result may go only to the people named in 49 CFR 1542.209(j) and 49 CFR 1544.229(j), and that record is destroyed 180 days after the authority ends.
6. Run a batch only inside one specification. Batch preparation fits a week of new hires on this company template and returns a retake list. Identification media, the company ID, the temporary pass, and any visa stay in separate batches.
Many station printers take ID-1 stock, nominally 85.60 mm by 53.98 mm under ISO/IEC 7810. Measure the photo window before the first link. Keep a passport number off the face of the company card. Identification media still have to show their own identification number, and be large enough to challenge.
Where do airport badge photos usually fail?
These breaks show up after the start date, or at the yearly audit.
| What fails | What to change |
|---|---|
| One selfie is cropped for identification media, the company ID, and the visa | Split the files before the link goes out. Each file names its camera and its end date. |
| The uniform stays on a US visa photograph | Retake that file without the uniform, except religious clothing worn daily. Keep the uniform on the company ID only when the template says so. |
| A company card is handed over as identification media | The security program names the issuer. Store the reference and the expiration date. A company card does not answer a challenge. |
| A second medium is issued because the first was left at home | 49 CFR 1542.211 allows a replacement only after a written declaration that the medium was lost, stolen, or destroyed. An aircraft operator follows the lost-or-stolen declaration in 49 CFR 1544.231. |
| The assignment has ended and the company card still looks current | Store the end date with the photo, and deactivate the card that day. Retrieve the identification medium under the security program. |
What should an airline require from a vendor?
The station badging lead and the person who owns company access can share one shortlist. The airport still issues identification media under the security program.
| What you need | What good looks like |
|---|---|
| A specification per card you print | Size, crop, background, uniform, and glasses. See the published specifications. Identification media and the visa sit outside this list. |
| A block on forbidden edits | A US visa photograph, and a US or UK passport photograph, stay unedited. See when a corrected portrait fits. |
| Rejection before a manual crop | Face, light, blur, framing, glasses, and a turned head, while the person is still there. A face-mask check when you ask for it. |
| A path for people not yet at the station | One link per person, no extra account, expired after use. The station camera stays for a rejected capture. |
| The station record | The file returns with the date that card should stop. Workday or SAP SuccessFactors sync is available per request. |
| A check a supervisor can explain | Face comparison and liveness detection are available per request. The supervisor still matches the person. The door still follows the identification medium. |
Who may see a worker's photograph?
The worker, the station office, and a supervisor who matches the company card may see the company file. The issuer sees the identification medium. A careers-page photograph uses a separate consent. Government ID numbers and criminal-history results stay in the system the rule already names.
In the UK and the EU the portrait is personal data under the GDPR. In California it is personal information under the CCPA. The data privacy policy describes encrypted transmission, temporary storage from 2 hours to 14 days, or taking the image so nothing is retained on the service. US and EU processing are available. Other regions are available per request. A station outside this security program follows that aerodrome's own programme.
How do you roll this out at one station?
Write the file rule before the first link. For one station, name the company template, which media the airport issues, and the temporary pass. Write the date that stops each file, and measure the photo window on that printer.
Run one week of new hires on the company template only. Name one owner who can decide, the same day, whether a person stays on the new path. A rejected capture uses the station camera before the person leaves. Print one card on that printer, or confirm print and mailing with support before you promise a photograph in the post. Print and mailing is available per request.
Add a second station after a write has held. Prove a clean upload, a retake, and a write that fails once and is retried. Open Workday or SAP SuccessFactors only after support has confirmed that connection. The Shopify store template, with one-click setup, is available per request for a public counter in the terminal. It follows the Shopify guide and the retail counter page, and it stays off the badging record.
What do station badging leads ask?
Can the station office upload its own crop as airport identification media?
No. The medium has to meet 49 CFR 1542.211 or 49 CFR 1544.231. Anyone other than the airport operator needs an amendment under 49 CFR 1542.211(c). The company ID is a separate file.
Does a company ID replace identification media for a secured area or a SIDA?
No. The person displays the identification medium above the waist, or stays under escort. The company card is the employer's file.
Can one person hold two identification media?
49 CFR 1542.211(a)(3)(vi) allows one medium at a time, unless the person works for two companies and needs both to do the job. A replacement needs a written declaration. Each company ID stays on its own template.
Can a new hire submit a company-ID photo before arriving at the station?
Yes. Send one link, with no extra account, and expire it after use. It is available per request. Contact support@idphoto.ai. Keep the station camera for a rejected capture. Fingerprints are still taken under direct observation.
What if the person comes from a staffing agency, or works only in the terminal?
The firm keeps its own file. You still print your card with the assignment end date. Terminal staff who stay out of a secured area or a SIDA follow the HR path. Guarding follows the security guide. Airfield construction follows the contractor guide.
Can the same portrait go on a UK passport?
Use a separate file. A UK passport photograph must meet GOV.UK photo rules, stay unedited, and can be retrieved with a UK passport photo code. HM Passport Office still decides.
What does preparing the company photograph cost?
The photo service starts at $0.20 per photo. That is not the fingerprint fee. 49 CFR 1542.209(f) says the airport operator pays the designated rate from the local TSA security office. Personal checks are not acceptable. This page does not quote that rate.
How does idphoto.ai fit this workflow?
idphoto.ai is the photo step for the cards the employer prints. The API prepares a portrait to the template you name, checks the capture, and returns a file for the station record or the printer. The airport issues identification media. The catalog covers 300+ specifications across 200+ countries. Starting from $0.20 per photo. A UK passport photograph must meet GOV.UK photo rules. A visa photograph the applicant supplies stays unedited.
Templates, the self-service link, Workday or SAP SuccessFactors sync, print and mailing, liveness detection, a face-mask check, another processing region, and the Shopify store template with one-click setup are each available per request. Email support@idphoto.ai with the card designs, which media the airport issues, how the file returns, and any temporary-pass template that differs from the company ID.
