How gyms and membership clubs collect card photos for members and staff

A person in black athletic wear walks across a black mat toward a light-wood reception desk in a gym entrance, with wooden lockers on the left and a glass wall behind the desk.
The desk is where a card gets matched to a person. The person in the photograph is not an IDPhoto.ai customer. Photo: Marlon Castor / Pexels.

A gym or membership club can collect a usable card photo for members, juniors, and staff before reception has to guess who is holding the card. Name the template for that card, collect one portrait at the desk or on a link, and write the file to the membership record together with the date access should stop. The receptionist still decides who comes through.

This guide is for membership, reception, and the person who owns the access list at a gym, leisure centre, or club. Staff already in Workday or SAP SuccessFactors follow the HR badge guide. A coach from a staffing firm follows the staffing photo guide. A campus card follows the university guide. This page is the club card: the member, the junior, the coach off payroll, and the date a freeze or a cancellation should stop the door. Starting from $0.20 per photo.

What does a missing card photo cost a club?

The cost shows up at the desk. The terms already say the card belongs to one person, and the person on the shift cannot see a face.

Places Leisure’s privacy notice lists a photo as required for the membership card, for safety and access control, and treats a publicity photograph as a separate consent, including for a child. An empty card file, or a campaign shot used as the card, misses that split.

Brio’s membership terms, for its Cheshire West and Chester leisure centres, take the photograph when the card is issued and use it to identify the cardholder before access. The card is non-transferable. Someone else using it can have the membership cancelled. A lost, stolen, or damaged card is replaced for a nominal fee of £2. After a third consecutive visit with no card, the member can be charged the activity fee. Entry can also be a QR code in the app, so the portrait has to sit on the membership record. A separate image-rights form covers press and promotion. Brio is not an IDPhoto.ai customer.

Billing and the next site expose the same gap. Brio denies access when a payment is outstanding, and the reader still opens if the portrait was stored with no end date. Premier and Workfit memberships allow use across its gyms, so one crop has to fit every site that prints that card.

How do clubs collect card photos today?

Most desks still run on a webcam, a shared inbox, and one receptionist’s memory. Online joiners email a holiday photo, a filter, or a second person, and someone crops it by hand. A corporate zip misses the membership numbers. The junior frame shows the parent, the coach arrives as a class poster, and a day guest is printed on the member card. Marketing, the card file, and the freeze date in billing sit in three places.

What does one portrait per person look like?

Name the card before the first link goes out and before a join-up queue forms.

Four-step diagram for a membership card: name the card template, collect one portrait at the desk or on a link, retake while the person is still there, and file the photo on the membership record with the date access should stop.
The membership record stays the list of who may enter. The photo is one field on that record.

1. Write one template per card you issue. Members, juniors, staff, and coaches can share the plastic and still need a different window, background, or name line. ID-1 card stock is nominally 85.60 mm by 53.98 mm under ISO/IEC 7810. The photo window is smaller. A day guest gets a same-day pass, with a lasting portrait only when your written rule asks for one. Support can add a missing template.

2. Sort people by the record that already owns them. Reception should not build a second roster.

WhoWhere the record livesWhat to do with the photo
MemberThe membership systemUse the member template. Store the date access should stop: a freeze, a cancellation, or a suspension for missed payment.
JuniorThe membership system, with the guardian named on the accountUse the junior template when the window differs. The guardian can upload. The consent record stays on the membership.
Employed staffHR, including Workday or SAP SuccessFactors when that roster already lists themUse the staff template. Roster sync is available per request.
Coach or contractorThe contract, or the agency placementUse the club template for that card, and store the assignment end date. The firm may collect the capture.
Corporate schemeThe membership the club issuedOne link per person. The employer’s HR file stays with the employer. Reject a logo or a trade-show backdrop.
Day guestThe front desk, for that visitIssue a same-day pass. A lasting portrait joins the member file only when your rule says so.
Marketing subjectThe publicity consent formKeep that photograph out of the card queue.

3. Collect on one link, or on a camera at the desk. The badge photo service can email a unique link. The person uploads from a phone with no extra account, and the link expires after use. That portal is available per request. Contact support@idphoto.ai. Keep a reception camera for people who join in the building, and leave class photography with whoever holds the marketing consent forms.

4. Ask for a face a receptionist can match. One person, in color, face in focus, even light, both shoulders in frame, and no sunglasses or face mask. A religious head covering worn daily can stay when the face is visible. Background removal applies the template’s ground.

5. Prepare that template, and reject a bad capture in the same visit. The service crops to the specification you named. Photo enhancement can lift a dark reception portrait when policy allows. Leave a passport photograph unedited. Follow the U.S. Department of State, and meet GOV.UK photo rules for a UK passport. Flag a missing face, light, blur, framing, glasses, or a turned head while the person is still there. A face-mask check is available per request. Contact support@idphoto.ai to enable it. The common mistakes guide is the line you send back.

6. Write the file to the membership record, with the date access should stop. A clean check means those capture problems were not reported. Door rights stay with the club. On a reprint, a face comparison returns a match decision and a similarity score. Liveness detection is available per request and checks the capture. See biometric verification. Facial recognition that unlocks a door is a separate decision. The ICO’s gym example says consent is difficult when facial recognition is the only way in, and that a membership card can be the alternative that makes a choice real. Retry a failed write. Keeping photos in your own storage covers taking the copy back, or a temporary link of 2 hours to 14 days.

7. Keep each population on its own specification. Batch preparation uses one specification and a retake list. Members, juniors, staff, and coaches are four specifications when the cards differ. The three files below are the ones clubs mix.

Three-column diagram separating a membership card portrait, a marketing photograph that needs its own consent, and door facial recognition as a separate decision.
The card portrait, the campaign photograph, and a door that recognizes a face are three decisions. This workflow prepares the first.

A counter that sells passport and visa photos stays off the membership record. See the retail page, visa photo requirements, and the Shopify guide. Print and mailing is available per request. A UK passport photo code retrieves a photograph that meets GOV.UK photo rules. HM Passport Office still decides. This service is separate from HM Passport Office.

Where do membership card photos usually fail?

These breaks show up after the person is expected at the door.

The rule requires a photo and the file is blankHold the permanent card until a portrait is on the membership record. A day pass can cover the visit.

A campaign shot is printed on the cardKeep two files. Marketing waits for the consent form the operator already uses.
A coach’s poster is printed as the member cardPrepare a new file on the club template. The agency may still have collected the original capture.

What should a club require from a vendor?

Membership, reception, and the privacy lead can share one shortlist.

Who may see a membership photo?

A card portrait is personal data. Places Leisure lists it for the membership card, and lists biometric data among the categories that need more care. Agree three points before the first upload.

Who may see the image. The member, or the guardian named for a junior. Reception, and the system that prints or displays the card. Communications sees a marketing photograph when the consent form says so.

Where the lasting copy lives. Keep it on the membership system, on your retention schedule. In the UK and the EU the portrait falls under the GDPR. In California it is personal information under the CCPA. The data privacy policy describes encrypted transmission, temporary storage from 2 hours to 14 days, or taking the image so nothing is retained on the service, and compliance with the GDPR and the CCPA. US and EU processing are available. Other regions are available per request.

What you tell members and parents. Say what the photo is for, who sees it, and how long you keep it. For a junior, a parent uploads under the consent process you already use, and the record stays on the membership. If children are likely to use the join flow, read the ICO Age Appropriate Design Code. A US club collecting personal information online from children under 13 should read the FTC’s COPPA guidance.

How do you roll this out at one club?

Start with online joiners at one site, on the member template. Confirm the window, the background, glasses, and head coverings with reception and the printer before the first link. In the same week, write who may enter on a day pass, and which date stops a freeze, a cancellation, a missed payment, or a coach’s assignment.

Run one week of real joins, and keep the desk camera. Name one owner who can decide, the same day, whether a person stays on the new path. Anyone who still cannot produce a clear capture reaches a person at the desk.

Open the next site after the write has held. Prove a clean upload, a retake, and a write to the membership record, including a write that fails once and is retried. Print one card at the second site before you send links there. Open Workday or SAP SuccessFactors for employed staff only after support has confirmed that connection. The Shopify store template, with one-click setup, is available per request for a passport-photo counter, which stays off the membership record.

What do operators ask?

Is a membership card photo the same as facial recognition at the door?

A card photo is a portrait a person at the desk can match to the member. Facial recognition that unlocks a door is a separate biometric system. The ICO’s gym example treats a membership card as the alternative that gives people a real choice.

Can someone who joins online submit a photo without visiting?

Yes. Send one link, with no extra account, and expire it after use. Keep a desk camera for a rejected capture. The link is available per request. Contact support@idphoto.ai.

What if the upload shows someone else?

Reject a second person in the frame during the same visit. On a replacement, face comparison against the portrait on file flags a different person. Reception still decides. Liveness detection is available per request.

Should coaches and staff use the member card template?

Use the template for the card you print. Members, juniors, staff, and coaches can share the plastic and still need a different window or name line.

How should a club handle a junior’s photo?

A parent or guardian uploads under the consent process you already use for children’s images, and the copy stays on the membership record. Read the ICO Age Appropriate Design Code if children are likely to use the join flow, and the FTC’s COPPA guidance for online collection from children under 13 in the United States.

Does a clean photo check let someone through the turnstile?

A clean check means the capture problems you configured were not reported. Door rights stay with the club.

Where should the club keep the portrait?

Keep the lasting copy on the membership system, on your retention schedule. Take the image so nothing is retained on the service, or copy it before a temporary link of 2 hours to 14 days ends.

Can the card photo be used in marketing?

Keep the card portrait on the membership record. Places Leisure and Brio ask for separate permission before a photograph is used for publicity.

How does idphoto.ai fit this workflow?

idphoto.ai is the photo step for this workflow. The service prepares a portrait to the template you name, checks the capture, and returns a file for the membership system or the card printer. Support can add the card you print. The catalog covers 300+ specifications across 200+ countries when a member also needs a visa or passport file. Starting from $0.20 per photo. A UK passport photograph, when one is required, must meet GOV.UK photo rules.

The self-service link, Workday or SAP SuccessFactors sync, print and mailing, liveness detection, a face-mask check, another processing region, and the Shopify store template are each available per request. The club issues the card. Email support@idphoto.ai with the card designs, who is off the roster, how the file returns, and any privacy requirements for juniors.
